The Constitution of the East District Softball Coaches Association
ARTICLE I. Name
The name of the organization will be the “The East District Softball Coaches Association”, and is a voluntary organization not organized for profit.
ARTICLE II. Purpose
To promote softball in the East District in a positive manner.
To recognize outstanding achievements of coaches and players in the East District.
To enrich the fellowship of the coaches of the East District.
ARTICLE III. Membership
Section 1. There will be 3 classifications of members, Primary Active, Secondary Active and Associate.
Section 2. Active membership may include varsity, assistant varsity, reserve and junior high school coaches.
Section 3. Membership Descriptions
3.1 Primary Active members should be the varsity head coach, or their representative, who must also be a member of the State Coaches Association.
3.2 Secondary Active members should be the assistant coaches to the school’s softball programs, or their representatives. Secondary members need not belong to the State Softball Coaches Association.
3.3 Associate members includes any person interested in the activities of the association. Associate members do not have the right to vote or hold association office in the association.
Section 4. To be a member of the East District Softball Coaches Association, a school must have a Primary Active membership. A school is limited to 1 primary active membership.
Section 5. A school is entitled to only 1 Secondary Active membership, in conjunction with its Primary Active membership.
Section 6. A school may have an unlimited number of Associate memberships.
ARTICLE IV. Dues
Section 1. Membership dues for a Primary Active membership shall be $30.00 annually, $15.00 of which shall be remitted to the state for membership in the State Coaches Association, and $15.00 of which will be retained by the district for district membership.
Section 2. Membership dues for Secondary Active membership shall be $15.00 annually, $7.50 of which shall be remitted to the state for membership in the State Coaches Association, and $7.50 of which will be retained by the district for district membership.
Section 3. Membership dues for Associate membership shall be $15.00 which will be retained for district membership.
Section 4. Dues must be paid by the State Association cut off date of March 15 th each year.
Section 5. Membership shall run on a yearly basis from the March 15 th cutoff of one year to the March 15th date of the next year.
Section 6. Any additional fees may be voted on by two-thirds vote of Active membership present.
Article V. Officers
Section 1. The officers of the Association shall consist of a President, Vice President, Secretary and Treasurer. Term of office shall be 1 year.
Section 2. Elections of officers shall be held at the May Meeting each year.
Section 3. Replacing officers who resign or retire shall be handled by calling a special meeting for election.
ARTICLE VI. Duties of Officers
A. President
1. Preside at all meetings.
2. Represent our district.
a. Inform the District Board of your selection, along with your address and number so as you will be invited to their meetings.
b. Present views of coaches within your district.
c. Approve the payment of bills by the Treasurer and audit the Association’s books.
3. Take charge of all correspondence concerning the association.
B. Vice President
1. Act and perform all duties of the President in their absence.
2. Act as the district’s representative to the State Coaches Association.
C. Secretary
1. Take a roll call at all meetings.
a. Check track of attendance for each meeting and dues paid.
b. Keep a running log of membership
c. Send correspondence for district dues to member schools.
2. Record the minutes of all meetings.
3. Send out reminders via email to the coaches’ association.
a. Send All- District nominee sheets out the last week of April.
b. Send out All-District spreadsheet with nominees’ names listed by Division
c. Collect All-District spreadsheets and align for voting by district.
d. Send voting rubric out along with divisional nominees out to the membership
f. Collect all votes for All-District
g. Tally by school who voted for All-District players
h. Order plaques and certificates for award winners of All District
4. Send out the February online meeting
5. Distribute All-District selections and COY nominees along with All-Star selections for the Senior All-Star game.
6. Copy and distribute stats and nominees for pitchers of the underclass tryout.
a. email selected players coaches to confirm pitcher tryout
7. Register underclass all-star participants and pitcher invites
8. Correspond with district newspapers of All-District Selections and All-Ohio
9. Correspond with the state coaches association of All-Ohio selections and underclass roster.
D. Treasurer
1. Collect and hold all dues and pay money for all bills authorized by the President.
2. Keep a written record of all money and membership and make a regular report to the organization.
3. Pay the state association dues on behalf of the district.
4. Correspond with the secretary for eligibility of voting rights and dues paid.
Article VII. Meetings.
There shall be 4 meetings during the school year, and others as deemed necessary by the officers of the Association. The first meeting will be a mandatory meeting in November on the second Sunday of the month. The second meeting will be held online and emailed out the end of January and/or beginning of February. The third meeting will be held the first Sunday of March and the final meeting will be held the third Sunday of May. Times and sights to be determined by the officers. A schools Primary or Secondary member or representative from that school must attend 3 meetings to qualify to have a player or players nominated for all-district selections. If a coach misses the November mandatory meeting but pay the $25.00 fine and meet all the other regulations, a coach may still nominate their athletes for All-District.
Article VIII. Voting
Section 1 Primary Active members, or their representative, shall be entitled to 1 vote on all general business brought before Association, 1 vote toward player for all district teams, and 1 vote for all state teams.
Section 2 Secondary Active members, or their representative, shall be entitled to 1 vote on all general business brought before Association, 1 vote toward player for all district teams. Secondary Active members WILL NOT receive a vote for all state teams.
Section 3 Associate members shall have no voting rights.
Section 4 Fifty one percent(51%) of the vote of the Active members present will be Needed for the passage of general business. The President will not vote on general business unless to break a tie.
Article IX. Amendments
This constitution may be amended by sending a letter, concerning the amendment, to those Members of the Association prior to the next meeting. The constitution may be amended by Two thirds (2/3) vote of those Active members present at the meeting. The officers will also Have the right to vote.
Article X. All District Team Selection
Section 1. Nominations for All-District must be submitted via email (name , school, position , year in school) the last Sunday of April by midnight.
Section 2. Nominees may be nominated by any Active member, or their representative. Section 3. Nominations from any Active member’s designated representative shall be one 1 vote toward players for 1st team all-district and 1 vote for 2nd team all district.
Section 4. The entire membership of each state classification division from within the Association may vote for nominees for All District teams in that division. One vote for 1 st Team All District and 1 vote for 2nd team All-district.
Section 5 No school shall place more than 4 nominees on the All-District team. A team Shall have the option of placing 2 players on honorable mention, provided their Membership and meeting requirements have been met.
Section 6 If funds are available, those players, in each division, selected to 1 st team shall Receive a plague, and those 2nd team members shall receive a certificate And honorable mention shall receive a certificate acknowledging them of their Honor.
ARTICLE XI Coach of the Year
Section 1 Active members of each division may nominate one coach of that division for Coach of the Year. Nominees are due the last Sunday of April via email by midnight.
Section 2 Nominated coaches must be active members of the Association.
Section 3 Each primary active member, or their representative, will receive one vote In their division for Coach of the Year.
Section 4 One coach will be selected as Coach of the Year in each division. If funds are Available, each coach selected shall receive a plaque in honor of being selected as Coach of the Year in their division.
Article XII. Senior All Star Game
Section 1 All candidates must be seniors. At least 30 players shall be selected.
Section 2 Senior players selected to 1st Team All District shall be eligible to participate. If a shortage of players exist, seniors selected to the 2nd team will become eligible. if a shortage of players still exist players that are seniors on the honorable mention list shall be chosen to participate. If a shortage still exists coaches may nominate players from their team to be considered to play.
Section 3 The coaches of the senior all-star teams will have the authority to select other Seniors as needed from member schools due to lack of players by position.
Section 4 Teams of seniors shall be divided geographically.
Section 5 There shall be 1 game and each team shall consist of 15 players.
Section 6 If, at the May meeting, there are at least 60 eligible seniors who will commit To playing in the senior all star game, 4 teams will be divided and 2 games will be played.
Section 7 Senior All Star Game Rules
● Only seniors can participate
● All players must play 3 innings of defense during the game unless injured. It is strongly recommended that each player plays an equal amount of time
● A batting order of 1-15 shall be used. If there are not 15 players the batting order will consist of the total number of team members
● The game shall be 9 innings
● Free substitution shall be used in order to achieve that all play equal time
● The rules of fastpitch softball as recognized by the OHSAA, except for those in conflict with the state rules of this section, shall be followed.
Section 8 Senior All-Star Coaches
● There shall be at least 2 coaches from the east and west side of the district
● Coaches shall be nominated and/or volunteer to coach in the game
Article XIII All-Ohio and Player of the Year
Section 1 Only primary active members, or the representatives, present shall be eligible to nominate and vote for All-State and Players of the Year in their division
Section 2 All players elected to 1st team all-district in their respective are eligible to be Nominated for the Player of the Year of their division of the Association
Section 3 The nominated player with the most votes from within their divisions shall be The player of the year in that division and automatically be selected as the 1 st Team All-State selection for that division.
